Email usage policy

This policy supplements the Terms and Conditions and explains how mailboxes, web-hosting mail, Plesk mail and the Fast4.IT mail gateway may be used. Its purpose is responsible sending, reliable deliverability and protection against spam, abuse, restrictions and blocklist entries.

Stand

15.06.2026

Applies to all mail services provided by Fast4.IT unless an individual written agreement takes precedence.

Erlaubt

Normal customer communication, invoices, support, internal coordination and transactional email.

Vorher abstimmen

Newsletters, larger mailings, campaigns, new sending tools and sharply increasing volumes.

Nicht erlaubt

Spam, phishing, malware, purchased lists, spoofed senders and unsolicited mass outreach.

Vertragsgrundlage

This policy provides technical and organisational detail for the Terms and Conditions. It does not replace an individual agreement, but clarifies when Fast4.IT may protect, restrict, review or temporarily suspend sending.

Einwilligung: Advertising and newsletters require verifiable consent or a clearly applicable legal exemption.

Nachweis: The customer must be able to provide clear evidence of the recipient source, consent, unsubscribe process and purpose of the mailing.

Folgen: Abuse may result in blocking, suspension, requests for supporting evidence and additional work charged in accordance with the Terms and Conditions.

What happens automatically

1. Review

Outgoing email may be checked against spam, malware, reputation and policy rules.

2. Blockierung

Suspicious messages may be stopped before delivery. Blocked messages are considered undelivered.

3. Information

The customer is notified of the incident. Fast4.IT receives an internal abuse report for investigation.

4. Absicherung

Affected mailboxes may be temporarily suspended until the password, device and cause of the sending activity have been investigated.

The number of messages is not the only relevant factor; recipient source, content, complaint risk, authentication, bounce rate and domain reputation also matter.

Newsletter & Werbung

Marketing email must be clearly identifiable, include a genuine sender, provide a simple unsubscribe option and be sent only to recipients for whom a lawful basis exists.

Compromised mailboxes

If unusual sending activity is detected, the customer must change passwords, check devices, remove unknown forwarding rules and assist Fast4.IT with the investigation.

Blacklists & Beschwerden

Complaints from recipients, providers, abuse desks or blocklists are investigated. Sending may be restricted immediately to protect all customers.

So bleibt Versand sauber

  • Use strong, unique passwords and do not share mailboxes.
  • Maintain recipient lists, remove bounced addresses and honour unsubscribe requests immediately.
  • Do not remove SPF, DKIM, DMARC or MX records without understanding their purpose.
  • Coordinate larger mailings with Fast4.IT in advance.
  • Respond quickly to warnings or restrictions and resolve the cause.

If something looks unusual

Fast4.IT may block messages, impose sending limits, temporarily suspend mailboxes, request supporting evidence, review technical logs and require a clear resolution before approving changes or lifting restrictions.

This is not a penalty; it protects customer data, domains, recipients and the reputation of the shared mail infrastructure.

No purchased lists. No deception. No mass-spam risks.

Normal email use is expressly encouraged. Problems arise with advertising that cannot be substantiated, large recipient volumes, spoofed senders, complaints or malicious content. If in doubt, opening a short ticket before sending is the safest approach.
